Domijn is a housing association from Enschede with approximately 280 employees. The organization works daily on good and affordable living in Twente and actively responds to social and technological developments. In that playing field, clear processes, accessible information and digital skills are crucial. To support employees in their work in a practical way, Domijn uses SelfGuide, a tool that shares work instructions quickly and uniformly with colleagues.
Before SelfGuide was introduced, Domijn worked with various forms of instructions: separate Word documents, PDFs, screenshots and explanations by e-mail. This caused fragmentation, ambiguity and sometimes even frustration. “Colleagues received different answers to the same question or had to put everything together themselves,” says Marloes Folsche, coordinator of Computerization & Automation. “We wanted to get rid of that hassle and move to one central and recognisable way of creating and sharing instructions.”
In 2022, Domijn started SelfGuide. The tool is used to create visual, step-by-step instructions that can be directly applied in practice. Whether it's a process in Outlook, a request in the ERP system or a step into an internal portal — with SelfGuide, Domijn records this in one way. “It helps us to capture clear, visual explanations in a uniform way, so that everyone gets the same explanation,” says Marloes.
SelfGuide is now an integral part of process optimization, project communication and internal support. The tool is widely used: not only for Microsoft 365 instructions, but also for other software, internal processes, onboarding new employees and changes in working methods. This is how SelfGuide supports the digital self-reliance of all employees, from pioneers to colleagues who want to get to grips with the basics.
A major advantage of SelfGuide is that employees can learn independently and at their own pace. Before colleagues approach the service desk, they now first look for a solution in SelfGuide. This encourages ownership and increases confidence in your own digital skills. The instructions are visual, uniforms are always up to date, so everyone can quickly find what they're looking for — whether it's Outlook, SharePoint or the ERP system.
“Colleagues can learn when it suits them,” says Marloes. “And we hear more and more in the workplace: 'Have you looked into SelfGuide yet? ' Or: “There's just an instruction for that in SelfGuide.” And that, of course, is what we want.”
SelfGuide isn't just a reference book; it also allows employees to easily create instructions themselves. As a result, sharing knowledge is a shared responsibility and everyone can contribute to keeping the instruction library up to date. This prevents repetitive questions and ensures consistent, accessible information for everyone.
SelfGuide is now an integral part of the work environment and is used as standard for projects and changes. The impact is noticeable: employees are more independent, the pressure on the service desk has been reduced and processes have been set up more clearly and efficiently. Marloes: “We see that colleagues are gaining confidence in their own digital skills.”
New processes and applications are provided with a SelfGuide instruction as standard, and existing explanations are updated where necessary. “The platform is accessible and user-friendly. And recording and editing instructions is clear, easy to use and intuitive,” says Marloes.
Although SelfGuide is used independently, it is also a valuable addition to the practical training courses provided by ExplainIt at Domijn. SelfGuide supports the practical training offerings that Domijn provides together with ExplainIt. Participants in these training courses use SelfGuide as a reference and can view actions later at their own pace. “SelfGuide makes learning repeatable,” says Marloes. “It offers colleagues the opportunity to find actions they have seen in training courses later at their own time and apply them to their work.” In this way, knowledge is not only transferred, but also sustainably secured within Domijn.
